The individual in this role must initially work daily at Mizkan America’s North American headquarters in Mt. Prospect, IL, transitioning to Schaumburg, IL by mid to late 2025. Once established, there will be flexibility to work remotely for part of each day. Onsite presence is required for full days on Wednesdays and Thursdays currently.



The HR Clerk/Receptionist will serve as the building receptionist at Mizkan America, Inc’s U.S. headquarters. Responsibilities include greeting visitors, managing building access badges for employees and visitors, answering and directing phone calls, maintaining an efficient and attractive front office, sorting mail, and assisting with shipping and receiving packages.

The HR Clerk/Receptionist also provides administrative support to the HR team which may include administration and reporting of training, assisting with recruiting and onboarding activities, and processing invoices and P.O.’s for the HR department.

This position is also responsible for helping with tasks within the facility such as ensuring the kitchens and office supplies are stocked and in working order.

There are additional opportunities to participate in various HR projects based on demonstrated interests and skills.

Must be available to work from 8am to 5pm each day, with a one-hour lunch break.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Receptionist


* Answers and screens phone calls not managed by the automated phone system, transferring them to the appropriate staff member
* Greets visitors and directs them to correct staff member
* Filters/distributes all incoming and outgoing mail
* Manages all incoming and outgoing packages (UPS/FedEx)
* Ability to lift up to 35 lbs
* Creates shipping labels for outgoing packages - codes all UPS/FedEx invoices under correct department
* Maintains office and kitchen supplies by checking stock to determine inventory levels, anticipate requirements, place and expedite orders, verify receipts, and stock items
* Works with other administrative staff to coordinate Reception desk coverage as needed
* Assists HR office personnel with facility and equipment malfunctions. Coordinates with administrative assistant responsible for our areas for outside repair services as needed
* Maintains professional, presentable front office area and ensures kitchen and mailroom area are clean, organized, and fully stocked
* Manages “The Receptionist” digital sign in system

HR Clerk


* Maintain enrollment data and send weekly completion reports for compliance training related to HR
* Maintain and send quarterly reports and reminders to managers for leadership training
* Send first-day Orientation follow up e-mails to new employees to assist with the onboarding process
* Answer employee questions
* Assist with travel itineraries and arrangements for new employees
* Create and manage all invoices and P.O.s for HR including being the super user for our pay to procure system
* Assist in scheduling interviews, meetings and set up of conference rooms as needed
* Work on special projects as assigned to assist the HR Team as needed
* Review and approve all recognition award submittals for posting
* Ensure completion of and upload New Hire policy acknowledgement documents to the new employees’ respective files



EDUCATION, EXPERIENCE, AND QUALIFICATIONS:


* Minimum of two years of related receptionist/administrative experience
* A recent graduate with a degree in HR, business, or a related field is preferred, but candidates still completing their degree will also be considered
* Must be reliable, self-motivated, and well organized
* Strong learning agility
* Strong written and verbal communication skills are essential in order to communicate clearly with all levels of the organization as well as vendors and suppliers
* Excellent customer service and interpersonal skills
* Ability to multi-task and work effectively while experiencing interruptions/distractions
* Ability to maintain confidentiality is required
* Intermediate skills required in Microsoft Office with an emphasis on Outlook, Word, Excel, and Teams.
* Ability to learn how to use common office equipment (e.g., copier/scanner, postage machine, etc.)

The annual base salary for this position ranges from $42,700 to $63,400. Compensation is based on a number of factors including market location and may vary depending on job-related knowledge, skills and experience. Short-Term Incentive and other forms of compensation may also be provided as part of a total compensation package.
