Job Summary:
The Executive Assistant will support the V.P. Packaged Solutions and other members of the Senior Leadership Team. The highly organized and proactive individual will be strategic partner, assisting with a wide range of administrative and executive support-related tasks, ensuring the efficient and effective operation of the leadership team. This role requires a proactive individual who can anticipate needs, manage multiple priorities, and maintain a high level of professionalism.
Essential Duties/Responsibilities:
Executive Support
- Manage and maintain the executive's calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and edit reports, presentations, internal communications, and other documents as needed.
- Coordinate and organize meetings, including preparing agendas, presentations, taking minutes, and following up on action items.
- Coordinate and manage communication, including emails, phone calls, and correspondence.
Project Management.
- Assist with the planning and execution of special projects and initiatives.
- Track progress and provide regular updates to the executive team.
- Ensure deadlines are met and deliverables are completed accurately and on time.
Administrative Functions
- Manage and track expenses, ensuring timely and accurate submission of reports.
- Perform general office duties such as filing, data entry, and document management.
- Coordinate and organize company events, meetings, and conferences. Manage budgets for team activities.
Stakeholder Relations
- Liaise with internal and external stakeholders on behalf of the V.P. Packaged Solutions and provide general support to visitors.
- Build and maintain strong relationships with key contacts, ensuring effective communication and collaboration.
- Draft, edit, and proofread internal communications, including memos, emails, and presentations.
- Ensure corporate branding and consistency across all communications.
Your Profile / Qualifications
Required Skills/Abilities:
- Exceptional organizational and time-management skills, with the ability to multi-task
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Knowledge of office management systems and procedures Working knowledge of office equipment
- Strong problem solving skills and attention to detail..
- Ability to work independently and as part of a team.
- Handle confidential information with discretion and maintain a high level of professionalism.
Education and Experience:
- Bachelor's degree in business administration, Management, or a related field preferred.
- Minimum of 3 years of experience as an Executive Assistant or in a similar high-level administrative role.
