Full Job Description

The American Hospital Association (AHA) is a national organization that represents and serves all types of hospitals, health care networks, and their patients and communities. The AHA has two main offices, located in Washington, D.C. and Chicago. We are currently seeking an Administrative Coordinator, Receptionist for our Chicago office. This position is on-site five days per week.

Starting base salary = $40,000- $50,000- $60,000 (commensurate with related experience). The AHA is committed to fair and equitable compensation practices. A candidate's salary is determined by various factors including, but not limited to, relevant work experience, skills, certifications, and location.

As the first point of contact for the Chicago office of the American Hospital Association (AHA), the Administrative Coordinator, Receptionist is responsible for greeting visitors and staff in a courteous, friendly manner, ensuring the visit to the office is a positive experience. The position serves as a resource for visitors for items such as logistics and arrangements of meeting rooms, food and beverage, setting up badges, and concierge about the Chicago metropolitan area. The Administrative Coordinator, Receptionist collaborates with Facilities Management and other departments with various administrative duties and projects, as needed. The official work hours to this position are Monday through Friday, 8:00 a.m. to 4:00 p.m. with a 30-minute lunch break.

Essential Functions include, but are not limited to the following:

• Greet visitors, determine the nature of their visit and provide appropriate information and direction to the proper location. Serve as the onsite resource for visitors to the Chicago office by answering logistical questions; coordinating arrangements for temporary office space; assisting with travel services, e.g., taxi services, hotel arrangements and tourist attractions.
• Comply with security procedures for all visitors. Inform building security staff in advance of visitors for meetings to expedite their admittance to AHA.
• Maintain knowledge of all meetings, conference calls, and major activities occurring onsite on a daily basis. Serve as backup to assist with scheduling meetings, coordinating equipment needs and arranging catering when needed.
• Serve as resource to Facilities Management and other departments to provide administrative support as needed.

3 years: Experience in a front desk or receptionist role, or in a customer service or customer relations capacity.
